Research question
How persuasive is the evidence that communication load crowds out focused operational work?
This article examines published workforce and project evidence through the narrow lens of small-business operations coordination. It does not assume that a vendor survey describes every organization, and it does not treat correlation as causation.
What the evidence shows
Microsoft’s 2023 Work Trend Index combined survey responses with Microsoft 365 activity signals. It reported that 68% of respondents lacked enough uninterrupted focus time and that the average employee in its telemetry spent 57% of time communicating. Heavy email users spent 8.8 hours weekly in email and heavy meeting users 7.5 hours in meetings.
Operations-specific analysis
The telemetry reflects Microsoft 365 customers and measures application activity, not the quality or value of every minute. Communication can itself be productive. The risk is a workday fragmented into short reactive intervals, especially when routine updates reach specialists through multiple channels. Operations support can protect focus by consolidating intake, preparing complete context, and batching routine follow-ups, but should preserve direct access for urgent or judgment-heavy issues.
The appropriate boundary is consistent: a support professional may maintain records, assemble source evidence, coordinate agreed follow-ups, and flag exceptions. Leaders and subject-matter owners retain policy, priority, personnel, and substantive project decisions.
Practical conclusion
Measure interruption frequency alongside total communication time. Classify messages by urgency, completeness, and required decision-maker. Establish one intake route for routine requests and a narrow escalation path for true exceptions. The useful outcome is not fewer messages in isolation; it is longer periods in which accountable specialists can complete high-value work without losing operational visibility.

These sources use different populations, definitions, and methods. Their figures are not directly additive, and associations should not be read as proof of causation. The analysis above uses them to test a bounded operations question and states where local measurement is still required.
