A virtual assistant for recurring report collection keeps monthly, weekly, or quarterly evidence from turning into an attachment hunt. The coordinator controls the calendar, checks package completeness, identifies versions, and moves exceptions to data owners. They should not change definitions or certify numbers they do not own.

Write a report contract before the first reminder

For each report, name the business question, accountable owner, preparer, reviewers, reporting period, cutoff, authoritative source systems, approved definition, required fields, format, delivery channel, access class, deadline, and retention location. Assign a stable report ID.

“Send the monthly service report” is not a contract. Specify whether August means activity through August 31 in local time, when late transactions stop entering the period, whether reopened jobs alter the prior month, and which system extract is authoritative.

The U.S. Government Accountability Office's Green Book describes principles for effective internal control, including quality information and control activities, in a federal context. It can inform an evidence-conscious process, but each organization must define its own reporting controls, data ownership, and review requirements.

Run the cycle from cutoff, not due date

Work backward from delivery. The source cutoff comes first, followed by extraction, preparer checks, owner review, correction window, approval, packaging, and distribution. A reminder on the final due date cannot recover a missing source extract.

For a weekly field-service report, the coordinator might confirm that the job system closed its reporting period, receive the export reference, verify required columns and date range, and ask the service owner about blank regions. They do not fill missing completion dates from calendar invitations.

Automate reminders around named events where possible: cutoff reached, source not received, review due, correction requested, approval missing. Every reminder should state the report ID, period, current version, missing action, owner, and deadline.

Make every submission identifiable

Record submission time, preparer, source extract reference, reporting period, file hash or controlled version where supported, and status. If a corrected file arrives, mark it as a new version and link the correction request. Never overwrite the first submission and pretend it did not circulate.

Completeness checks should be mechanical and agreed in advance: file opens, expected tabs or columns exist, period label matches, required fields are populated, totals reconcile to a supplied control, and owner certification is present where required. Plausibility or business interpretation goes to the data owner.

If the same filename arrives through multiple channels, do not choose the latest email by instinct. Ask the preparer which controlled version supersedes the others and preserve that decision.

Build a correction loop that stops old versions

Route discrepancies with the exact field, row, total, or definition question and the source used to detect it. The owner decides whether the report, source system, or expectation is wrong. Record the decision and replacement version.

When a corrected report is approved, update the packet and distribution state. If an earlier version was already sent, issue the approved correction notice to the same audience and mark the superseded version. The coordinator manages the distribution evidence; the owner approves the corrected meaning.

Close the packet and read the pattern

A period closes when the approved version, source references, review evidence, exceptions, distribution record, and retention location are linked. Open corrections remain visible even if the deadline has passed.

Track on-time source receipt, first-pass completeness, correction causes, review age, duplicate versions, and reports delivered before approval. Repeated missing fields may mean the report contract is wrong. Repeated late approvals may require a different calendar or owner, not another reminder.

Can the assistant combine figures from several systems? Only through a documented transformation owned and tested by the responsible analyst. Manual improvisation creates an unaudited number.

What should recipients receive? The approved version, reporting period, any authorized qualification, and a stable access location. Draft histories stay in the controlled working record.
