A recurring report can look polished while mixing periods, definitions, and revisions. A virtual assistant for recurring management reports can run the source calendar, assemble approved metrics, and maintain review evidence. Data owners and leaders remain responsible for definitions, interpretation, and decisions.
Define the report before collecting data
Record the audience, purpose, reporting period, cutoff, owner, each metric definition, source system, data owner, unit, comparison basis, narrative contributor, reviewer, and publication date. A stable data dictionary is more important than a decorative dashboard.
A federal contract management reporting clause separates baseline plans from progress reports and calls for reporting the status of tasks, activities, deliverables, actual dates, problems, and proposed corrective actions. Your report need not follow that clause, but the distinction between plan, actual, issue, and response is valuable.
Preserve source period and revision
Name every extract with its system, period, retrieval date, and revision. Keep the unedited source beside the working file. If a number changes after cutoff, label the restatement and explain which report versions it affects. Never silently replace a source to make the current chart match last month's narrative.
The assistant can run completeness and arithmetic checks, compare totals, and flag unusual changes. They should not invent an explanation or alter an owner-approved definition. Questions go back to the named data owner.
Build review into the production calendar
Work backward from the meeting or issue date. Allow time for source delivery, validation, narrative, owner review, and final approval. Track submitted, validation issue, corrected, owner approved, assembled, final review, issued, and superseded.
Limit the report to decisions the audience needs to make. Keep detailed reconciliations available behind the summary. A red or green indicator should link to its rule, not depend on the coordinator's intuition.
Issue one controlled version
Record the approved file, approver, issue time, recipients, and any access restrictions. If a correction is necessary, publish a clearly labeled revision and notify the same audience. Do not email an altered attachment under the old filename.
The assistant owns the calendar, source register, assembly, checks, revision log, and distribution evidence. Data owners own accuracy and definitions. Analysts or functional owners own explanations. Leaders own interpretation and action. That operating model produces timely reports without allowing presentation work to outrun the truth in the source data.
