A virtual assistant can inventory record series, calculate review events from an approved schedule, collect owner decisions, and preserve disposition evidence. Legal holds, retention interpretation, and destruction authority remain with designated owners.
This governance task can sit inside an operations VA assignment with restricted access. The preceding complaint intake guide illustrates why source history must survive later corrections.
virtual assistant for records retention schedule coordination
Build the inventory around record series rather than individual documents. For each series, capture its source system, approved schedule version, retention trigger, calculated review date, owner, access class, and current hold state.
The tracker should point to governed repositories. Copying sensitive records into a convenience spreadsheet creates another collection that may itself need control.
Calculate from the stated trigger
A review date is only as sound as its trigger. Contract end, account closure, supersession, and creation date are different events, so the coordinator must use the trigger written in the approved schedule.
If dates or schedule versions conflict, stop the calculation and route the discrepancy. Do not choose the date that clears the queue fastest.
Holds interrupt ordinary disposition
A legal or operational hold changes the path for affected records. Mark the hold source, scope, owner, and release status, while leaving interpretation and release to the authorized role.
NARA's records scheduling guidance explains how schedules support disposition authority in the federal context. A private organization still needs its own approved policy and qualified decisions.
Preserve proof after the review
The owner may approve disposal, transfer, continued retention, or an exception. Record that decision, its date, the affected series, the action owner, and the evidence that the action occurred.
A failed deletion, inaccessible archive, or incomplete transfer is not a closed item. Keep it in an exception queue until the responsible owner accepts the final evidence.
Sample the register against source systems and schedule versions on a planned cadence. The audit history should let another reviewer reconstruct which authority applied without searching private messages.
