Offboarding often spans a laptop, phone, badge, shared credentials, application roles, and work held in personal folders. A virtual assistant can connect the requests and confirmations. Managers, system owners, security staff, and people operations retain employment and access authority.

Start from an approved departure event

Record the person, effective time supplied by the authorized owner, manager, location, device inventory, application list, physical access items, data-transfer owner, and special instructions. Limit the record to people who need it. Do not infer a departure from rumor or a calendar change.

The FTC's small-business cybersecurity guidance recommends maintaining inventories of hardware, software, data, and services and limiting access to sensitive assets. That inventory gives an offboarding coordinator a reliable starting point.

Track request and completion separately

For every item, preserve the request time, approving owner, fulfiller, completion evidence, exception, and verification. A ticket submission is not revocation. A shipping label is not a returned laptop.

The assistant can arrange approved return logistics and chase system owners. They should never ask for passwords, log in as the departing worker, wipe a device, or disable an account themselves unless that technical work is explicitly their authorized role.

Handle exceptions through owners

Record lost equipment, delayed shipments, legal holds, extended access, shared-account dependencies, or unavailable owners as exceptions. Each exception needs an owner, approval, expiry where relevant, and next check. Avoid putting sensitive departure reasons into an equipment tracker.

Preserve chain-of-custody details for returned devices according to policy. Route suspected loss or exposure immediately through the security process.

Reconcile the final state

Compare the approved inventory with return receipts, account confirmations, badge status, data-transfer acknowledgment, and unresolved exceptions. Managers should confirm ownership of shared work.

The assistant owns coordination, reminders, and the evidence index. People operations owns the departure event. Managers own business handoffs. Security, IT, facilities, and application owners approve and perform their controls.
