An onboarding kickoff should not hide missing access, approvals, data, or named owners. A virtual assistant can maintain a prerequisite register and show what is ready, blocked, or awaiting secure delivery. Service, security, legal, technical, and customer owners decide what is required and whether work may begin.

Virtual assistant for customer onboarding prerequisite tracking workflow

Build the register from the approved onboarding plan with the customer account, prerequisite ID, requested item, reason supplied by the owner, responsible party, secure channel, due date, validation owner, dependency, and current state. Request only the minimum information defined by the process.

NIST digital identity guidance describes controlled identity proofing and enrollment in SP 800-63A. It does not govern every customer onboarding process, but it reinforces that identity evidence and access steps need qualified design and protected handling.

Keep coordination separate from judgment

Use not requested, requested, received securely, validation pending, accepted, rejected, waived by owner, and expired as separate states. A coordinator should not validate identity, approve access, copy secrets into a tracker, or treat file receipt as proof that a prerequisite is acceptable.

Run an owned exception queue

Escalate credentials sent through an unapproved channel, conflicting customer contacts, incomplete authorization, regulated data, scope changes, and requests to bypass a control. Record the blocker plainly and give it an owner rather than marking the project generally delayed.

Close with reviewable evidence

A prerequisite closes when the validation owner records acceptance or an authorized waiver, the item is stored correctly, and dependent work is released by the responsible lead. Continue into customer onboarding operations and use client portal management for controlled exchanges.
