An incoming payment may be real while its invoice allocation remains unclear. A virtual assistant can collect remittance evidence, compare references, and keep unresolved cash application items owned. Finance retains posting, write-off, refund, credit, and accounting authority.

Virtual assistant for cash application exception tracking workflow

Create an exception record with the receipt date, amount, currency, payer reference, bank reference visible to the authorized team, customer account, remittance source, candidate invoices supplied by the system, assigned finance owner, and age. Restrict access to payment information under the business's approved controls.

The current GAO Green Book describes internal control as a process supporting reliable operations, reporting, and compliance. Although it governs federal agencies, its documentation and control concepts are useful when designing a private administrative exception queue.

Keep coordination separate from judgment

Separate unmatched payer, missing remittance, short payment, overpayment, combined payment, disputed invoice, duplicate receipt, and foreign-currency question. The assistant may request approved information and prepare a match proposal, but should never post an entry or tell a customer how funds were applied before finance approves it.

Run an owned exception queue

Age the queue from the receipt date and record each contact attempt without exposing full banking details in email. Escalate refund requests, unusual instructions, account changes, sanctions concerns, suspected fraud, and any request to redirect funds.

Close with reviewable evidence

The exception closes when an authorized finance user records the approved treatment, posting evidence is linked, customer communication is preserved when required, and remaining differences have owners. Connect the process to accounts receivable support and the broader financial operations workflow.
