Miro is the visual collaboration platform that teams use for brainstorming, process mapping, sprint planning, workshop facilitation, retrospectives, product roadmapping, and cross-functional project visualization. For organizations that have built their collaboration and visual operations infrastructure in Miro, the workspace requires consistent administration: the board library grows with every project and initiative, workspace access needs to be kept current as the team changes, boards need to be prepared with the correct templates and frameworks before workshops and meetings, diagram content needs to be updated when processes evolve, and completed project boards need to be archived to keep the active workspace navigable. When facilitators and operations leads absorb this maintenance and preparation layer directly, they have less capacity for the design, facilitation, and strategic visualization work that creates value in Miro.
A Miro virtual assistant handles the board library organization, workspace access management, template setup and meeting preparation, content updates, and archiving layer so operations leads and facilitators can focus on the structural and creative work of designing better visual systems rather than the ongoing maintenance of keeping existing ones current.
What a Miro VA handles
The scope of a Miro VA is the platform administration and operational maintenance layer: organizing and maintaining the board library, managing workspace and team access as the organization changes, setting up board templates and frameworks before workshops and meetings at the facilitator's direction, updating diagram and document content when the operations lead or process owner provides updated information, and archiving completed project boards to keep the active workspace organized. All Miro board architecture decisions, workshop design, facilitation, process design, diagram logic, and strategic decisions about how visual systems should be structured stay with the operations lead or facilitator. The VA maintains the platform infrastructure within the systems and templates the architect has defined.
Core Miro VA tasks
Board library organization and maintenance
Miro workspaces accumulate boards quickly as teams create new boards for each project, sprint, workshop, and planning cycle. Without systematic organization, the board library becomes difficult to navigate, and team members cannot find the boards they need. Organizing and maintaining the board library is a systematic information management function.
A VA manages the board library organization and maintenance layer: organizing boards into defined projects and folders at the operations lead's direction when new boards are created and need to be filed in the correct location, applying the defined naming convention to boards that were created without consistent names at the operations lead's direction so the board library is searchable and scannable, maintaining the board index or master list that shows each active board, the project it belongs to, the board owner, the creation date, and the last active date for the operations lead's reference, monitoring the board library at the defined interval to identify boards that appear to be inactive or duplicate and flagging them to the operations lead for a keep-or-archive decision, confirming that boards are filed in the correct project folder when the operations lead creates new projects or reorganizes the project structure, and maintaining the folder and project structure in Miro to match the current organizational project structure at the operations lead's direction. The operations lead makes all decisions about how the board library should be organized, which boards to keep or archive, and how projects and folders should be structured; the VA executes the organization within that structure. The data management virtual assistant function covers the data organization methodology that board library management is part of.
Workspace and team access management
Miro's sharing and permission model allows workspace administrators to control which team members have access to the workspace and to individual boards. Keeping access current as the team changes is an administrative function with implications for both collaboration and information security.
A VA manages the workspace and team access management layer: adding new team members to the Miro workspace at the operations lead's direction when they join the company or a project that uses Miro, confirming the correct role configuration (Viewer, Commenter, Member, or Admin) for each new team member based on the access level the operations lead specifies, removing departing team members from the Miro workspace during the offboarding process at the operations lead's direction so that former team members do not retain access to the workspace and any boards it contains, sharing specific boards with external collaborators (contractors, clients, agency partners) at the operations lead's or project lead's direction when a board needs to be shared outside the internal workspace, conducting the periodic access audit at the operations lead's direction to confirm that active workspace membership is current and that former team members and past external collaborators no longer have access, and maintaining the access log showing which team members and external collaborators have access to the workspace and any boards specifically shared outside the workspace. The operations lead makes all decisions about who should have access to the Miro workspace and at what permission level; the VA executes the access changes within the defined configuration.
Board template setup and meeting preparation
Many Miro use cases are recurring: sprint retrospectives, weekly planning sessions, design sprints, workshop facilitation, and team brainstorming sessions each benefit from a prepared board with the correct template, framework, and participant context already in place before the session starts. Preparing boards ahead of meetings and workshops is a systematic pre-work coordination function.
A VA manages the board template setup and meeting preparation layer: creating the board for the upcoming session at the facilitator's or operations lead's direction using the template they specify (creating a new board from a defined Miro template, or duplicating an existing template board and resetting it for the new session), populating the pre-session context that the facilitator specifies (adding the sprint goal or agenda to the defined section of the retrospective board, adding the participant list and team names to the brainstorm board, adding the project scope or objectives to the design sprint board) before the session starts, confirming that the board is shared with all session participants at the correct access level before the session so no access issues disrupt the start of the session, organizing any prior session boards or context materials the facilitator wants visible in the new board by linking or embedding them at the facilitator's direction, and maintaining the template library board or folder that the team uses as the source of record for standard Miro templates so templates remain current as the team's standard frameworks evolve. The facilitator designs all workshop content, frameworks, and facilitation flows; the VA prepares the board environment the facilitator has specified. The meeting coordination virtual assistant function covers the broader meeting preparation and logistics methodology. The scheduling virtual assistant function covers the calendar coordination layer.
Diagram and content updates
Miro boards that document processes, org charts, architecture diagrams, team structures, product roadmaps, and operational workflows require periodic updates as the underlying processes and structures change. Updating board content when the operations lead or process owner provides revised information is a systematic maintenance function.
A VA manages the diagram and content update layer: updating process flow diagrams in Miro at the process owner's direction when a step is added, changed, or removed, and the process owner provides the updated step sequence and transition logic, updating org chart boards when the team structure changes at the HR manager's or operations lead's direction by adding, removing, or repositioning role cards to reflect the updated structure, updating product roadmap boards when the product manager provides updated timeline, status, or priority information and directs specific changes to the roadmap content, updating reference boards (team wikis, operational reference boards, onboarding boards) when the content owner provides updated text, links, or resource references, and maintaining the content update log showing each board that was updated, the date of the update, the specific changes made, and the person who directed the change for the operations lead's reference. The process owner, product manager, or operations lead makes all decisions about what the updated process, structure, or roadmap should show; the VA makes the changes to the Miro board based on the direction provided. The process documentation virtual assistant function covers the process documentation methodology. The sop virtual assistant function covers the standard operating procedure maintenance methodology.
Board archiving and workspace housekeeping
Completed project boards, past sprint boards, concluded workshop boards, and outdated reference boards accumulate in the Miro workspace over time. Without systematic archiving, the active workspace becomes cluttered and navigation becomes harder. Board archiving and workspace housekeeping is a systematic administrative function.
A VA manages the board archiving and workspace housekeeping layer: identifying boards that appear to be candidates for archiving (project boards for completed projects, sprint boards more than a defined period old, workshop boards where the action items have been captured elsewhere) and presenting them to the operations lead in a periodic archiving review list rather than archiving independently, archiving boards the operations lead confirms should be moved from the active workspace to the archive at the operations lead's direction, maintaining the archive folder or project structure in Miro so archived boards are retrievable if needed for reference, confirming that any content from boards being archived that should be preserved elsewhere (decisions logged, action items captured, process documentation saved) has been handled at the operations lead's direction before archiving, and deleting boards the operations lead confirms should be permanently removed after confirming the content has been archived or is no longer needed. The operations lead makes all decisions about which boards to archive or delete and when; the VA manages the housekeeping execution within those decisions. The content operations virtual assistant function covers the broader content asset organization methodology.
Getting started
Miro's workspace administration model allows an admin to assign a VA a Member or Admin role depending on the scope of their functions. A Member role allows the VA to create and edit boards the VA owns or is shared on. An Admin role allows the VA to manage workspace access, see all workspace boards, and administer workspace settings. If the VA will manage workspace access and conduct the full board library organization, Admin-level access is required. If the VA's functions are limited to board preparation and content updates on boards they are shared on, Member access may be sufficient.
Document the board naming convention, project and folder structure, template library, access request process, and archiving criteria before the VA starts.
